How to Resolve Pending Transfers in Your Store App

This article outlines the process for clearing aged inventory work items that are still marked as Pending or Partially received in the NewStore Associate App, despite the related activities being closed in the NewStore Omnichannel Manager (NOM). It discusses the concepts of ASNs, transfer orders, transfer transactions, and receiving transactions.

Utilize this guide when a transfer or ASN remains open in the Associate App because the corresponding record was not completely closed in NOM, or when an outdated transfer transaction needs to be removed from the app at the store level.

Problem

Inventory receiving enables a store to accept stock from a distribution center (DC) or another store. NewStore employs an ASN as the electronic reference for the shipment, or a manually entered reference number for a purchase order or shipment. In the case of store-to-store transfers, the transfer order is generated by the ERP, and NewStore creates an ASN for the receiving store. Consequently, a transfer can leave both transfer and receiving records in open work lists even when the underlying process is no longer active.

Symptoms

  • An aged transfer continues to be visible in the Associate App.

  • The transfer displays a status such as Pending or Partially complete.

  • NOM indicates that related transaction activity is closed, yet the item still appears in open work lists.

Prerequisites and Inventory Concepts

  • Access to NOM store operations for inventory records.

  • Access to the Associate App for the relevant store location.

  • The ability to determine whether the issue stems from an open transfer order, an open ASN, a stale transfer transaction, or a receiving transaction in the app.

  • Keep in mind that ASNs can encompass multiple transactions. Each transaction ID within an ASN is unique, so ensure you use the exact ASN, reference number, order ID, or transaction link when investigating.

Solution

Step 1: Check if the Transfer Order is Still Open in NOM

Access NOM and search for the affected transfer order. Review its status to confirm whether it remains open or partially completed.

Expected result: You will be able to ascertain whether the transfer is still active in NOM and requires manual closure.

Step 2: Manually Close the Transfer Order if it is Still Open

If the transfer order is not closed, open the transfer order record in NOM and complete the manual closure process.

Expected result: The transfer order status will change to closed in NOM.

Step 3: Check if the ASN is Still Open

If the transfer transactions are closed but the item still appears open, examine the related ASN in NOM. Search by the relevant shipment date range and filter for open or partially completed records if necessary.

Expected result: You will confirm whether the ASN itself is still open.

Step 4: Force Close the ASN in NOM if Necessary

Open the ASN record in NOM and use the Force close action if the ASN remains open even though the related transactions are already closed.

Expected result: The ASN will be closed and should no longer keep the transfer visible as open work.

Step 5: Remove Stale Transfer or Receiving Transactions from the Associate App

For inventory work that is no longer valid but still appears in the Associate App, log in at the affected store location. Locate the pending transfer or receiving window, use the X to dismiss it, and delete the transaction that remains pending. Receiving transactions can be deleted in the same manner as transfer transactions.

Expected result: The stale transfer transaction will be removed from the Associate App list.

Verification

  • Refresh or reopen the Associate App at the affected store.

  • Verify that the aged ASN, transfer, transfer transaction, or receiving transaction no longer appears as open, pending, or partially received.

  • Confirm in NOM that the related transfer order and ASN, if applicable, are closed.

  • If a transaction was deleted from the app, ensure that the deletion removed only the stale local work item and did not leave an active inventory process unresolved.

If the item disappears from the Associate App and all related records in NOM are closed, the issue is resolved.

Preventive Guidance

  • Before investigating stale inventory records in the app, verify the transfer order, ASN, and any related receiving transaction in NOM.

  • When a transfer or receiving item appears partially complete, do not assume the process is fully closed just because individual transactions are closed.

  • Regularly review open transfer orders, ASNs, transfer transactions, and receiving transactions to identify aged records before they remain visible in store workflows.

Troubleshooting Notes

  • If the transfer order is closed but the record still appears open in the app, check the ASN next.

  • If the ASN is already closed, review whether a stale pending transfer or receiving transaction still exists in the Associate App. Both transaction types can be deleted from the app when they are no longer valid work items.

  • If neither action resolves the issue, gather the transfer identifier, store location, and screenshots before contacting NewStore Support.
