Setting up cash drawers

Retailers use the Associate App to process cash payments and refunds within the store, and manage and track cash movements within a cash drawer. NewStore allows retailers to choose between three types of cash drawer configurations: network integrated, receipt printer integrated, and non-integrated.

Enabling cash management for a retailer

Retailers must first enable the cash management capabilities before setting up the cash drawer configurations within the stores. Enabling cash management is done at the retailer's global level.

Turning on this capability will make options available for setting up and configuring cash drawers within each store via Associate App. While enabling cash management globally makes the capability available to the stores, each store must still complete its specific cash drawer configuration to use all the features.

To enable this feature:

  1. Use the Update app configuration method.

  2. Set capabilities > cash_management to true.

After enabling the feature, users can continue configuring stores to use cash management and set up cash drawers using Associate App.

Info:
The NewStore POS platform does not support mixing Integrated Cash Drawer types. A store can ONLY be configured to use network integrated cash drawers OR receipt printer integrated cash drawers.

Configure Stores to Use Receipt Printer Integrated Cash Drawers

Support for receipt printer integrated cash drawers has been added to the NewStore platform with Associate App release 1.80. NewStore currently ONLY supports cash drawers integrated with Epson receipt printers. The receipt printers MUST support the standard RJ11/RJ12 connection to the cash drawer. Cash drawer brands and models do not matter, as long as the cash drawer has an RJ11/RJ12 printer connection.

By default, all store configurations are preset to use network integrated cash drawers. Retailers looking to open stores with only receipt printer integrated cash drawers must set the store level configuration using the Add or Update Cash Drawer Configuration API.

To configure a store to use receipt printer integrated cash drawers, run this API command prior to setting up the cash drawers in the Associate App.

Once the API request has been made using the above configuration and values, and the user has received a <200> response,final configuration can be carried out using the Cash Management interface within the Associate App.

Configuring cash drawers in the Associate App

While using Associate App tap within the App to access cash management. Users with the correct permissions should see the Cash Management menu. Retailers should decide which type of cash drawer configuration to use within the store. Stores can only have one type of cash drawer configured within each store location: network integrated, receipt printer integrated, or non-integrated.

Note

Network integrated and receipt printer integrated cash drawers leverage the Associate App and its checkout and payment flow to initiate the automatic opening of the cash drawer during sales, refunds, and non-sales transactions.


Non-integrated cash drawers require the user to physically open the drawer during the checkout and payment flow using a key or other mechanism.

Setting Up Network integrated cash drawers within a store

Retailers who want to use network integrated cash drawers must first ensure they have installed and configured their cash drawers by connecting them to the store network. The cash drawer must be connected to the same WiFi network as Associate App. NewStore ONLY supports APG cash drawers as network integrated cash drawers.  Refer to the list of supported APG cash drawers here.

To set up and configure a network integrated cash drawer, follow these steps:

  1. Connect integrated cash drawer(s) to the same WiFi network as Associate App.

  2. Tap , and select Cash Management.

  3. Tap Settings.

Note

When setting up a store for the first time, users will select the Do not use Cash Management option under the Store Operation Mode. Users must add a drawer type before they can enable Cash Management.

  1. Tap Add an integrated drawer.

    • Tap Scan Cash Drawer

      • Once the scanner opens, scan the barcode (the cash drawer will open)

      • Close the cash drawer to confirm connection and continue with set up.

    • Define the drawer name.

    • Define the recommended cash float for the drawer.

      • Drawer uses local currency defined for the store.

    • Save the drawer configuration.

  2. In the Store Operation section of the configuration, select Use Integrated Cash Drawers.

  3. If the retailer has more than one integrated cash drawer in a single store, repeat steps 1 to 4, and then continue with the daily open process.

Setting Up Receipt Printer integrated cash drawers within a store

Retailers who want to use receipt printer integrated cash drawers must first ensure they have installed and configured their receipt printer. To setup and configure receipt printers, follow the setup instructions for Configuring Printers.  As of Associate App release 1.80 NewStore only supports Epson receipt printers for these cash drawers. Refer to the list of supported Epson receipt printers here.

To set up and configure a receipt printer integrated cash drawer, follow these steps:

  1. Ensure there is a receipt printer setup and configured for the store you are working in.

  2. If this is the first time setting up a receipt printer integrated cash drawer, make sure the above API configuration has been set prior to continuing.

  3. Tap , and select Cash Management.

  4. Tap Settings.

  1. Tap Add an integrated drawer.

    • Provide a name for the printer integrated cash drawer - this name will be what is displayed in the Associate App to all assocaites.

    • Define the recommended cash float for the drawer. Then save that selection.

      • Drawers use the local currency defined for the store.

    • Tap Choose a receipt printer

      • Users will be given a list of available printers to connect the cash drawer. Ensure the user selects the correct receipt printer for their cash drawer.

      • Users will see the receipt printer configured for this cash drawer in the Using receipt printer section.

    • Save the drawer configuration.

  2. Users will now see the cash drawer listed int he Integrated Drawers section of the Settings view.

  3. While still in the Settings view, under the Store Operation Mode section, select Use Integrated Cash Drawers.

    1. This cash drawer will now be enabled for all store associates within this store.

  4. If the retailer has more than one printer integrated cash drawer in a single store, repeat steps 1 to 4, and then continue with the daily open process.

Using non-integrated cash drawers within a store

Associate App does not interact with a non-integrated cash drawer to unlock the drawer. However, all transactions are tracked in NewStore, and daily summaries are also available.

To set up and configure the non-integrated cash drawer, follow the steps below:

  1. Tap , and select Cash Management.

  2. Tap Settings.

  3. In the Non-Integrated Drawers screen tap Configure non-integrated drawer.

    • Define the drawer name.

    • Define the recommended cash float for the drawer.

      • Drawer uses local currency defined for the store.

    • Save the drawer configuration.

  4. In the Store Operation section of the configuration, select Use Non-Integrated Cash Drawers, and then continue with the daily open process.

Setting up cash rounding

If your business operates retail stores in countries with cash rounding compliance requirements, the Associate app can be configured to enable automated cash rounding for all cash sales transactions.  NewStore applies rounding logic based upon the types of coin currencies accepted as payment in the countries where cash rounding is a necessity.

Beginning with Associate App release 1.76, NewStore has added support for cash rounding within the United States. The United States stopped minting the US Penny (1 cent piece) on November 12. 2025, however there may be certain states within the United States having regulations or laws potentially restricting the use of cash rounding. Retailers who wish to enable cash rounding for their stores within the United States should check with their legal counsel before enabling the capability.

Retailers retain full discretion to enable or disable cash rounding based on their own legal and compliance assessments. Cash rounding in the United States can be enabled at a store level.

States with potential conflicts with cash rounding:

  1. Connecticut — must accept cash and provides exact-change protections.

  2. Delaware — exact change/cash acceptance rules are on the books.Part 1

  3. Massachusetts — long-standing requirement for cash acceptance/exact change.

  4. Montana — cash cannot be refused (and is generally guaranteed).

  5. New Jersey — cash acceptance / exact-change protections.

  6. New York — state law prohibits refusing cash (and exact change rules may apply).

  7. Tennessee — exact cent sales-tax and cash handling requirements complicate rounding.

  8. Oregon — require exact change / or full cash acceptance.

  9. Rhode Island — cash acceptance statutes can limit rounding options.

  10. Colorado — law generally prohibits refusing cash.

Note

The rounding logic is applied when accepting payments for sales transactions in cash and when processing cash refunds when the original form of payment was cash. If the order has a split payment, cash rounding is only applied to the cash part of the transaction.

* US Cash Rounding can be enabled at a Store level. All other countries are configured at an entire country level.

Important

When you view the order in Omnichannel Manager in the Order details page , the amount reflected is not rounded off as in the app.

The rounded off amount is only reflected in the cash management summary reports  in Omnichannel Manager, as the rounded amount of cash captured for the sales transaction is recorded as part of the cash drawer transaction, and not the actual total amount that was displayed before it was rounded off.

Using the same example as shown above, in the Order details page, the order amount will be displayed as AU $233.87 but in the cash drawer transaction summary report, it will be displayed as AU $233.90.
